Production Coordinator

Studio based full time employee or contractor positions available. 

Job description:

  • Assists each Department in all evolving support needs (including duties such as calendar booking, updating schedules and documents, generating reports, etc).

  • Handles day-to-day production database (Ftrack) including managing artist inbox and status of available inventory.

  • Assists each Department with maintaining quotas, deadlines & inventory, ensuring departmental productivity goals are consistently met.

  • Understands and works with each department to maintain each department schedule.

  • Ensures workflow from one department to the next is as seamless as possible. For example animation to lighting.

  • Checks in with artists daily on creative progress and helps remove roadblocks.

  • Coordinates crew meetings, dailies, reviews and events.

  • Coordinates client meetings, taking detailed notes, coordinating client requests to and from each department.

  • Handles requests made by crew members, Supervisors, Department Leadership and Production Management.

  • Preps for reviews and meetings by building the agenda, checking the attendees, room setup, etc.

  • Building / running playlists for reviews.

  • Takes notes during reviews/meetings and distributes information in a timely manner.

  • Stays abreast of issues on the floor and elevates information appropriately to Production Management.

  • Attends production meetings and provides department updates as needed.

  • Supports Studio and Production Directives.

  • Paid per Episode.

(Japan only) Employee positions:

  • Working hours: 9:30 to 18:00 (1 hour break) totaling 7.5 hours work per day.

  • Location: 2 minutes on foot from Shin-Okubo Station on Yamanote Line.

  • Holidays: Saturdays, Sundays, Japanese National Holidays, Christmas holidays, 125 annuallyplus annual leave. Additionally 10 extra paid holidays after 6 months full-time employment, 11 after 1.5 years, 12 after 2.5 years. Holidays can be changed or negotiated to benefit the employee as the company deems necessary within the bounds of labor law.

  • Bonus: July and December based on proven work record and company profits.

  • Yearly raise: Annually calculated.

  • Total gross monthly salary including benefits: 220,000-380,000 Japanese yen.

Minimum requirements: 

  • Japanese email at a native business level, spoken at a communication level

  • English email and spoken at basic communication level

  • Business computer literacy including the ability to use Excel, Word or similar · A person who is very responsible and most importantly a very deep level of patience as you will be working with highly eccentric artists from all around the world. Many with very high ego and many different cultures, viewpoints, etc.

  • Ability to communicate and understand English direction.

  • Native Japanese will need to show a willingness to communicate with an international team.

Extra skills that might be beneficial: 

  • Artistic appreciation like painting, photography or drawing

  • Technical computer knowledge like coding or web design

  • Ability to translate or interpret
